Veterinary Practice Administrator – Chicago, IL – #7809
Our veterinary shelter and spay/neuter clinic is looking for a Senior Director of Medical Operations and Administration.
The incumbent will oversee Medical Operations for all programs and play both a strategic and tactical role in ensuring the seamless operation of veterinary services and overall veterinarian practices for all animals that come through multiple locations.
This position will report directly to the Executive Director. The incumbent will be responsible for comprehensive administrative management of the medical operations which leverage our technicians and veterinarians to service animals in need, managing resources and implementing best practices to maintain the highest standards of animal welfare.
Duties and Responsibilities
Medical Team Oversight and Leadership:
•Serve as the overall business lead of medical operations and look for opportunities for improvement
•Supervise and coordinate daily operations including scheduling
•Support the development, implementation, and maintenance of medical policies and protocols
•Ensure compliance with organizational policies and processes, industry regulations, and veterinary standards.
•Support the Chief Medical Officer in managing and leading a team of veterinary professionals, veterinary technicians, and support staff.
•Foster a positive and collaborative work environment
•Ensure staff is trained, informed, and engaged
•Oversee client-facing services and operations, ensuring excellence in customer service
Medical Operations:
•Execute the medical vision and strategy in alignment with the organization’s mission and goals.
•Establish and track quality measures to support clinic standards of excellence and compliance with industry regulations.
•Monitor patient outcomes and collaborate with the team to continuously improve medical protocols.
•Explore and implement technological solutions to enhance hospital efficiency and effectiveness.
•Track metrics and KPIs for medical operations as defined by executive leadership.
Resource Management:
•Manage, optimize, and regularly review the allocation of resources, including staff, equipment, and supplies.
•Collaborate with the Chief Medical Officer to develop and manage the veterinary services budget.
•Identify and implement cost-saving initiatives, when possible, without compromising the quality of care provided.
•Identify opportunities to better utilize technology to streamline operations and improve efficiency and impact; implement and deploy technology and software solutions.
Qualifications
• Bachelor’s degree required; Masters in Business Administration (MBA) preferred.
•3+ years of experience in veterinary or human medical practice management.
•Experience in an animal shelter setting is a plus.
•Familiarity with medical standards of care, procedures, treatments, and best practices.
•Ability to prioritize and proficiently handle multiple tasks simultaneously.
•Strong organizational and administrative skills, including budget management and resource allocation.
•Experience in record keeping, documentation, and compliance tracking/monitoring.
•Excellent verbal and written communication skills, with the ability to effectively communicate with staff, volunteers, and external partners.
•Ability to be a liaison between the veterinary team and other departments within the organization.
•Demonstrated leadership skills with the ability to lead, mentor, and collaborate with a diverse team of veterinary professionals and support staff.
•Experience in conducting team meetings, training sessions, and fostering a positive work environment.
